Problem: Time Off Calculations not working

Q. Why is the time not being subtracted from the time off benefit?

A. There could be a couple of reason for this, first go back to the employee notes and make sure that the day and hours are filled out in the box on the right middle of the screen. For example if your benefit is calculated in hours and you just have the days entered the program will not read that.

B. The second area to check is in the corporate policy, in the time off benefit, highlight the benefit, click on edit and choose the note tab, check to make sure that the appropriate note code has a check mark to the left .

C. Be sure dedit the Employeee Time Off (benefit button -- on right) edit the Time Off Benefit record. The default starts from last recalulation, click instead on benefit start, it will recalculate from the beginning.

Q. Why am I not seeing any time accrual?

Check to make sure that the hire date field in the main form is filled out.

From within the Time-off Benefits page, select the benefit you wish to edit, then click the [Edit] button located at the bottom of the screen. The Edit Employee Time-off Benefit screen will appear . Near the bottom of the screen go to STARTING FROM, there you want to choose benefit start or if that is not available choose the date when the benefit started. Then hit the recalculate button.

The program does not calculate future time, for example if the hire date is March 25th and your benefit is set up for anniversary year, you will see March's accrual on April 25th.

Also, adding a note for a benefit to an employee's records will not automatically delete that time take from the total time available for the benefit.

To see the current total time for a benefit, you must go into the employee's record, find the benefit in question, click on the EDIT button to open the benefit, then recalculate the benefit to have EmployeeFileBuilder find all new notes added and subtract the time from the benefit.

An "automatic" recalculation (one that recalculated the benefit time when you add a note) is being looked at as a new feature for the next version of EmployeeFileBuilder, scheduled for release in 1999.
